Office files and business documents are some of the most important items in any workplace. During an office move, losing a file or mixing up important papers can cause serious problems. Here is how to move your documents safely.

Sort and Organise Before You Pack

The first step is to sort your documents before packing them. This is also a good opportunity to clear out files you no longer need.

Create three groups: active files you need regular access to, archive files you keep but rarely access, and files that can be safely shredded or recycled.

Do not pack everything into boxes without sorting. Moving is the best time to declutter your filing system.

Use Secure Boxes for Sensitive Documents

For confidential files — client records, financial documents, legal agreements, employee information — use sealed and labelled archive boxes.

Tape each box securely and mark it with the department or file type, not the specific contents. A box labelled "HR Files" gives less away than one labelled with individual names or case numbers.

Consider using lockable file boxes for the most sensitive materials.

Create a Digital Backup Before the Move

Before packing any physical document, scan the most important ones and store the digital copies on a secure cloud platform or an external hard drive.

This protects you in case any files are lost or damaged during the move. It also means you can access critical information while the physical files are in transit.

Back up the digital copies in at least two places — cloud storage and a physical drive that travels with you, not in the moving truck.

Number Your Boxes and Keep an Inventory

Give every document box a number and create a simple inventory sheet that records what is in each box.

For example: Box 1 — Financial Reports 2023–2024. Box 2 — Client Contracts (A–G). Keep the inventory with you during the move so you can locate any file quickly on arrival.

Assign Someone to Oversee the Documents

During the move, one person should be responsible for all document boxes. This person should supervise the loading and unloading of all file boxes and confirm that none are left behind or placed in the wrong area.

After the Move

Unpack document boxes first and set up the filing system before you begin working from the new location. This prevents the chaos of working from incomplete or misplaced files on the first day.

Check that all numbered boxes have arrived and that the inventory matches what was packed before leaving the old office.
